Export Import Documents Checklist for India (2026): 12 Documents You Actually Need
“Which documents are required for export from India?” is a question every new exporter asks — and getting it wrong costs real money. A missing document means a held-up shipment, demurrage charges, buyer penalties, or a rejected cargo at the destination port. This 2026 checklist covers the exact export import documents you need, who issues them, and the mistakes that get shipments stuck.

The 12 Core Export Import Documents
| Document | Purpose | Issued By | Who Needs It |
|---|---|---|---|
| 1. IEC Code | Your export identity; mandatory for every shipment | DGFT | All exporters & importers |
| 2. GST Registration | Tax compliance for export invoicing and refunds | GSTN / State | All businesses |
| 3. Proforma Invoice | Price quote to buyer before order confirmation | Exporter | Sent to buyer |
| 4. Commercial Invoice | Final invoice with price, HS code, payment terms | Exporter | Buyer, customs, bank |
| 5. Packing List | Contents, weights, dimensions of each package | Exporter | Customs, carrier, buyer |
| 6. Bill of Lading / Airway Bill | Contract of carriage and proof of shipment | Shipping line / Airline | Buyer, bank (LC), customs |
| 7. Shipping Bill | Export declaration filed with customs | Customs (via CHA/broker) | All export shipments |
| 8. Bill of Entry | Import declaration for clearing goods into India | Customs (via CHA) | All import shipments |
| 9. Certificate of Origin | Proves goods are Indian-origin (for duty benefits) | FIEO / EPCs / chambers | Buyers & customs abroad |
| 10. Insurance Certificate | Covers cargo risk in transit | Insurance company | Buyer under CIF; exporter under CIP |
| 11. Bank Documents (LC / Bill of Exchange / BRC) | Payment security and realisation proof | Exporter’s bank | Exporters on LC / DP terms |
| 12. Export Invoice cum Packing List | Combined document for courier & e-commerce exports | Exporter | Small parcels, e-commerce sellers |
Your IEC code is the foundation — nothing moves without it. See our complete guide: DGFT IEC Code Registration: Process, Fees & Documents.
Export Documents by Stage of Shipment
Think of documents in three stages — most errors happen when exporters mix up which stage needs what:
- Pre-shipment: IEC, GST, proforma invoice, purchase order, LC (if applicable), packing list draft, insurance
- At shipment: Commercial invoice, final packing list, shipping bill (customs), bill of lading / airway bill, certificate of origin, inspection certificate (if buyer requires)
- Post-shipment: Bank Realisation Certificate (BRC), payment documents, RoDTEP / duty drawback claims, export records for ITR

Import Documents in India
Importing? The mirror set applies: your IEC (for import), the supplier’s invoice and packing list, an airway bill or bill of lading in your name, a Bill of Entry filed with customs, payment of customs duty, and the BOE assessment by customs before goods are released. Keep every import record for at least five years — GST audits require them.
Common Document Mistakes That Delay Shipments
- ⌠HS code mismatch between invoice, packing list, and shipping bill — the #1 customs rejection reason
- ⌠Consignee name spelled differently across documents
- ⌠Missing original bill of lading for LC negotiation — banks reject discrepancies, not documents
- ⌠Invoice value mismatch with the amount declared to customs
- ⌠Forgetting the Certificate of Origin — buyers may claim a lower duty without it
